SIS Flexibility for Managing Hierarchical Institutions

Published on June 28, 2019

Running a large educational institution with multiple hierarchical levels can be challenging when it comes to managing various colleges, districts, or other organizational types with different ways of operating – including applications/admissions processes, grad requirements, terms, degrees, transcript styles, etc.  Most school districts and institutions of higher education alike have patched together a variety of different systems to manage administrative tasks and collect critical data over the years. Many of these institutions must maintain several separate systems, which can be very costly and cause data inconsistency.  Yet often they still require ALL their institutions to operate in the same fashion, which limits their ability to support unique organizational needs and requires a lot of manual overhead to fill the gaps. There are countless reasons why a comprehensive solution that has a great degree of flexibility benefits large academic organizations with multiple business processes.

There are very few systems available that provide the hierarchal model needed by states, districts, or large universities with the capability of managing multiple institutions or programs from a single platform.  Ideally, each individual school or program under the umbrella of a top-level organization should appear to have its own instance, complete with unique branding.  An example would be having Elementary, Middle,  High Schools, and Dual Diploma Institutions all managed within a single scalable database, with support for different business rules for each, including different grade reports, assignment types, exams, marking periods, events, certificates, transcripts,  and graduation plans. The same is true for universities with multiple majors and/or colleges that each have their own unique ways of operating.   Each school should be able to define its own distinctive workflow for admissions, enrollments, user roles, grading scales, fees, even links to external sites. User role access should be controlled within each level of the hierarchy and defined down to the individual user.

Course content will certainly differ among institutions and grade levels requiring multiple, simultaneous integrations. The BocaVox team has over 12 years of success in building two-way integrations with Maestro SIS.  By porting student grades from as many LMS (learning management system) and content providers as necessary, Maestro eliminates duplicate entry of data and aggregates all access to other platforms into a single HUB.

Running a multifaceted institution with a variety of grade levels and programs, schools or colleges involves charging different types of fees.  A Student Information System that includes a robust accounting ledger to generate invoices per organization or user type, securely process payments, track payment history, and create financial reports offers institutions a tremendous value by presenting the complete student profile in a single application. Maestro SIS  supports payment processing by integrating with third party payment gateways. Fees and payment plans can be customized by student type or required business rule, and users can make those payments without ever leaving the system.

The challenges of managing a large academic institution with a complex organizational hierarchy can be fully supported with a flexible, comprehensive student management system. With over 300 optional parameters for customization, Maestro SIS provides the ultimate flexibility, with scalability for high performance to support exponential growth.
